Who is responsible for your information

FCTONLINE LIMITED, trading as Hippowarehouse, is responsible for personal information used to operate hippowarehouse.com. For privacy questions or requests, email hello@hippowarehouse.com or write to Unit 5 Chelsea Close, Off Amberley Road, Leeds, West Yorkshire, LS12 4HP, United Kingdom.

Information and purposes

We receive information when you place an order, personalise a product, create an account, contact us or subscribe to marketing. This may include your name, contact and delivery details, order information, payment status, correspondence and uploaded photos or text. We also receive device and browsing information through our website services, payment updates from payment providers and delivery updates from delivery providers. A purchaser may provide a gift recipient’s name and delivery address.

Orders and help: we use order, contact, delivery and personalisation details to perform our contract. Our legitimate interest in fulfilling a gift order supports necessary use of recipient details.

Required records: we retain invoices and transaction information to meet legal obligations.

Security and disputes: we use relevant technical, order and support records for our legitimate interests in preventing abuse and resolving claims.

Requested marketing: we use contact details and preferences with consent. You can unsubscribe at any time.

Optional analytics and advertising: where enabled with your consent, we use device identifiers and browsing events to understand use of the site and measure or tailor advertising.

Information needed to take payment, personalise an item or deliver it is necessary for the relevant order. Without it, we may be unable to provide that product or service. Marketing choices are optional. When relying on legitimate interests, we consider the effect on your rights and use only information that is necessary for that purpose.

Who receives information

We use Shopify to host and operate the store, Zepto Product Personalizer for product customisation, and Searchanise for site search and filtering. We also use payment services offered at checkout, delivery providers and business email services for their relevant functions. We may share information with professional advisers or where required by law.

Payments are handled by the payment services selected at checkout, including PayPal or Shop Pay where available. Those services process payment details under their own privacy notices. We receive the payment and order information needed to manage the purchase and any refund. Shopify also processes information for its own services as explained at https://www.shopify.com/legal/privacy.

Your uploaded photos and text

We use personalisation content to fulfil the order and resolve related queries. It is handled by the people producing or supporting your order and the relevant personalisation and storage services. We do not use it in advertising without separate permission. Please ensure you are entitled to supply images and information about other people, including children. Avoid sending sensitive information that is unnecessary for the product.

Retention and international transfers

We retain information according to its purpose and legal requirements: order records for tax, accounting and relevant claims; support records to resolve enquiries and disputes; personalisation files to produce the item and handle related queries. We retain minimal information to respect marketing opt-outs. Records needed for a current dispute may be kept until it is resolved.

Shopify may process information through its Irish entity and in Canada, the United States and other countries. Its published safeguards include applicable adequacy decisions and contractual protections. See https://www.shopify.com/legal/privacy or contact us for information about these safeguards.

Your choices and rights

Depending on the circumstances, you can request access, correction, deletion, restriction or portability of your personal information. You can object to processing based on legitimate interests and object to direct marketing at any time. Where we rely on consent, you can withdraw it without affecting the lawfulness of earlier use.

For marketing emails, use the unsubscribe link or contact us. For optional tracking, use Cookie settings. To exercise other rights or complain about our data handling, email hello@hippowarehouse.com. We may need information to verify your identity. You can also complain to the Information Commissioner’s Office at https://ico.org.uk/make-a-complaint/. We update this notice when our practices change.
